General Information

The personal assistant (PA) will provide administrative support to the Medical Cluster Director. The DACH Medical Affairs organization is responsible for all marketed Generic, OTC and Specialty products in Germany, Austria and Switzerland, including upcoming innovative launch products, as e.g. Teva´s new compound Fremanezumab.

 

The PA will support the Medical Cluster Director DACH and manage her office. In order to be able to fulfill all responsibilities within the Medical Affairs organization, ensure business continuity for the Cluster and the License to operate, the PA is a critical position. He/ She will provide administrative support to the Medical Cluster Director DACH and helps to make the best use of her time by dealing with secretarial and administrative tasks. By supporting the Medical Cluster Director and managing her office, this position will as well focus on special projects. As the Medical Affairs organization reports directly to Europe and to the Cluster General Manager, it will be crucial for the PA to liase with key functions in the German Cluster and the European Medical team.

 

Located in Ulm, the PAs need to gain extensive knowledge of the organization, of the key internal and external stakeholder and understand the organization’s aims and objectives.

Job Description

  • Responsibility for the organization of the Director’s program and briefing
  • Maintain the Director’s diary and contacts database
  • Managing the Director’s budget and lead on special projects for the Department
  • Efficient handling, monitoring, coordination and execution of all secretarial tasks related to day-to-day business
  • Set up and coordinate all internal and external meetings and appointments for the Director
  • General office service - screening phone calls, mails, post, enquiries and requests and handling them when appropriate in the name of the manager
  • Carrying out background analysis/research and presentation of results/elaboration
  • Liaising with clients, suppliers, external experts and other staff
  • Creation of statistics, presentation documents and decision-making documents for the Medical Director
  • Coordinate the preparation of briefing papers and presentations for the Director with other team members
  • Representative/contact partner for SOP Management (“SOP-Beauftragte”), for training and development (“Schulungsbeauftragte”)
  • Coordinator contract management

Qualifications

  • Several years profound professional experience, preferably in the pharmaceutical industry or health management
  • Bachelor Degree or Certified Senior Business Specialist (e.g. “Fachwirt”) in Business or Communication; Qualification as management assistant, foreign language correspondent, European secretary or equivalent
  • Working experience in a matrix and international environment
  • Ability to manage and prioritize multiple tasks
  • Excellent MS Office skills (in general Word, PowerPoint, Excel, Outlook and SAP)
  • Good knowledge and experience of Project Management
  • Fluent Business English and German (verbal and writing)
  • Excellent communication, organizational and interpersonal skills
  • Loyal, extremely conscientious and reliable
