The Opportunity


As an Executive Assistant (EA), you will provide various executive and administrative support and project related duties to the Vice president and administrative support to ANZ commercial management team.


Based in our Macquarie Park head office, your days will be fast paced and varied including calendar management, administration and communication between the Vice president and internal and external stakeholders including our senior leadership team across our global network.

As a strong communicator and highly organised individual, with great attention to detail, you will bring your previous coordination and administrative experience along with your exceptional relationship building skills and professionalism to this exciting full time, permanent role.

How You’ll spend Your Day


  • Meeting management and logistics, preparation of general correspondence and coordination of meetings.
  • Act as point of contact for GM office, with regional and global contacts.
  • Maintain the company calendar including scheduling meetings, prioritising conflicting needs and ensuring time is appropriately available for critical meetings and issues.
  • Liaise with external vendors and contractors to ensure event co-ordination and logistics are executed in a timely manner.
  • Support in the preparation of reports, presentation, correspondences and essential business tasks such as KPIs, matrix follow up with region and cluster, follow up with managers on assigned tasks.
  • Assist in preparation of notes for meetings and participate in leadership meetings, whenever required.
  • Plan and organise team meetings, events and communications.
  • Arrange domestic and international travel plans and itineraries.
  • Manage ad hoc requests and projects.

Your Experience And Qualifications


  • Bachelor degree in any discipline
  • 5+ year’s executive and administration experience, at a senior level
  • Project and Event co-ordination and management experience
  • High attention to detail & ability to multi-task & prioritise tasks
  • Excellent communication skills
  • Experience working in multi-national companies and experience in Pharmaceutical industry is preferred
  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office
  • Demonstrate efficiency, accuracy and organization in the course of work.
  • Resourceful and ability to work under minimal supervision with a highly confidential nature
  • Good interpersonal skills, energetic and a team player
  • Ability to operate across global corporate landscape including many different organizational levels, cultures, and time zones
