The opportunity

 

The incumbent is an experienced operations and project management leader who is responsible for establishing and leading the ExM governance, developing and owning the ExM integrated risk management process and overseeing the portfolio of projects involving external manufacturing partners (contract manufacturers or CMOs). It entails defining governance structures, prioritizing projects to align with business strategy, and ensuring projects are executed effectively and in compliance with company standards and regulatory requirements. 

How you’ll spend your day

 

Governance management

 

-Establish framework: Develop, implement, and maintain a robust ExM operations and projects governance framework, including processes, roles, and responsibilities for all operations and projects involving external manufacturers.
-Oversee committees: Organize and lead portfolio governance and steering committee meetings to review project performance, address major issues, and make critical decisions.
-Standardization: Define and enforce standard project management methodologies, templates, and tools to ensure consistency and efficiency across all external manufacturing projects.
-Stakeholder communication: Provide regular, high-level reporting on portfolio health, progress, and key metrics to senior leadership and other stakeholders. 

 

Portfolio management

 

-Strategic alignment: Ensure the portfolio of external manufacturing projects—which can include new product introductions, technology transfers, process improvements, and cost reduction initiatives—is aligned with overall corporate and supply chain strategies.
-Prioritization: Facilitate the prioritization and selection of projects based on business value, resource availability, risk, and strategic importance, often through a formal governance committee.
-Roadmapping: Develop and maintain a portfolio roadmap that provides a clear, long-term view of all external manufacturing projects, timelines, and resource needs.
-Resource allocation: Manage and allocate internal and external resources across the portfolio to optimize project execution and balance competing demands. 

 

Projects oversight and risk management

 

-Project health monitoring: Proactively monitor the health of individual projects within the portfolio, tracking progress against milestones, budget, and scope.
-Risk assessment: Identify, escalate, and manage portfolio-level risks and issues, including those related to external partners, budget, schedule, and quality.
-Dependency management: Oversee and coordinate project dependencies across the portfolio and with internal departments to resolve conflicts and avoid delays.
-Issue resolution: Act as a point of escalation for complex issues within projects, guiding project teams toward effective and timely resolution. 

 

Integrated Risk Management

 

-Own the integrated risk management process for ExM and ensure that across all operational units, IRM leads are identified, and the process is carried out robustly and timely,
-Drive the development and implementation of mitigation plans, and provide regular updates and escalations to the ExM LT.

 

Team leadership

 

-The incumbent will have 5-7 direct reports and an overall team of around 25 employees and will be expected to:

-Provide guidance and motivation to keep the team engaged and productive.

-Monitor progress against goals and KPIs.
-Identify and resolve issues that hinder performance.

-Identify training needs and arrange learning opportunities.

Your experience and qualifications

 

Experience: Proven track record in project and portfolio management, preferably with a focus on manufacturing, supply chain, or external partner management. Experience in a highly regulated industry (e.g., pharmaceuticals, medical devices) is often required.

 

Education: A bachelor's degree in business, engineering, supply chain management, or a related field. A Project Management Professional (PMP) or Program/Portfolio Management (PGMP) certification is often preferred.

 

Leadership: Strong ability to lead, influence, and motivate cross-functional teams in a matrix environment without direct authority.

 

Communication: Excellent verbal, written, and presentation skills to effectively communicate with and influence stakeholders at all levels, both internally and externally.

 

Strategic thinking: The ability to understand the larger business strategy and connect it to specific project goals and priorities.

 

Analytical skills: Strong analytical and problem-solving capabilities to assess portfolio performance, manage risks, and facilitate data-driven decisions.
