Our Team, Your Impact

The Senior Meeting Specialist leads the planning and execution of high-impact meetings across Teva Pharmaceuticals. This role ensures logistical excellence, regulatory compliance, and budget accountability while managing external vendors and supporting internal stakeholders. The Specialist also contributes to process improvement, training, and flagship events such as the National Field Meeting and President’s Club.

How You’ll Spend Your Day

Meeting Planning & Execution

•    Lead end-to-end planning and execution of national and regional meetings, ensuring alignment with business objectives and compliance standards.
•    Collaborate with internal stakeholders to define meeting goals, agendas, and logistics.
•    Ensure timely shipping and arrival of all meeting materials.
•    Review and approve invoices, manage reimbursement issues, and maintain accurate documentation.

 

Vendor Management
•    Manage relationships with external vendors including hotels, transportation, and production companies.
•    Negotiate contracts and ensure service delivery meets Teva’s quality and compliance standards.
•    Set clear objectives and expectations for vendors using structured project plans.

 

Systems & Tools
•    Utilize CVENT and other meeting management tools to streamline planning, registration, and reporting.
•    Troubleshoot system issues and recommend enhancements to improve efficiency.
•    Maintain regulatory records and ensure audit readiness.

 

Training & Process Improvement
•    Support onboarding and training of new associates in meeting planning best practices.
•    Identify and implement process improvements to enhance department efficiency and stakeholder satisfaction.

Your Skills and Experience

Any equivalent combination of education, training and/or experience that fulfills the requirements of the position will be considered. 

 

Education/Certification/Experience:

•    Bachelor’s degree required; CMP or HMCC certification preferred
•    Minimum of 3 years in meeting planning and facilitation, preferably in pharmaceutical or other similarly regulated industry
•    Experience with meeting management systems, i.e. CVENT required
•    Strong knowledge of hotel and vendor contract negotiations
•    Experience with hybrid and virtual meeting formats

 

Skills/Knowledge/Abilities:
•    Highly detail oriented with the ability to plan and prioritize workloads for multiple projects and departmental needs
•    Strong time management and organizational skills
•    Advance skills in MS Office suite of products (Excel, PowerPoint, Outlook)
•    Knowledge of AMA, ACCME, and FDA regulations associated with promotion and industry supported scientific educational activities

 

TRAVEL REQUIREMENTS

•    Up to 30% travel throughout the US and occasionally internationally, which may include weekend and overnight trips

Compensation Data

The annual starting salary for this position is between $82,640-$108,645  annually.  Factors which may affect starting salary within this range and level of role may include geography/market, skills, education, experience and other qualifications of the successful candidate.
