The opportunity

The Executive Assistant will provide administrative, logistical and strategic support to the SVP, Business Development, Innovative Medicines and the VP, Business Development, Alliances and Integration Management.  This role is critical to ensuring seamless coordination across internal leadership, external stakeholders, and cross-functional teams. The ideal candidate is proactive, highly organized, and skilled at managing confidential communications, complex scheduling, and high-impact meetings in a dynamic business environment.

How you’ll spend your day

Executive Support & Coordination

  • Provide day to day administrative support to the SVP, VP and related teams, as needed,  including calendar management, scheduling, meeting coordination and travel coordination.
  • Assist with preparing materials for meetings by gathering documents, organizing background information, and ensuring the leaders have what they need in advance.
  • Help coordinate leadership and cross functional meetings by supporting agenda preparation and follow up tracking.
    Meeting Planning & Scheduling
  • Support the planning and scheduling of recurring and ad hoc meetings, ensuring availability across time zones and managing basic logistics.
  • Coordinate meeting details such as room reservations, virtual meeting links, and attendee communications.
  • Lead planning process for major business development conferences (JP Morgan, BIO) including potential on-site support.
  • Record and distribute meeting notes, action items, and deadlines as directed.


External Partner Support

  • Assist in managing communication with external stakeholders, including candidates, vendors, and partners.
  • Provide logistical support in setting up and managing offsite locations for partner meetings.
  • Draft routine correspondence and help manage meeting requests with professionalism and attention to detail.
  • Internal Collaboration & Administrative Processes
  • Support communication between the leaders and internal teams by helping track deadlines, deliverables, and follow up items.
  • Assist with organizing internal events, workshops, and team sessions.
  • Provide administrative support for processes such as contract routing, purchase order submissions, and expense reporting.
  • Access and utilize internal systems that streamline workflows for internal stakeholders (ie, financial reporting, deal tracking, partner management)

 

Administrative Operations & Organization

  • Maintain organized files, records, and documentation, ensuring confidentiality and accuracy.
  • Monitor incoming communications and flag priority items for review.
  • Contribute to improving administrative workflows by identifying opportunities for efficiency and consistency.

Your experience and qualifications

Any equivalent combination of education, training and/or experience that fulfills the requirements of the position will be considered. 

 

  • A minimum 5 years of experience supporting senior leaders and external-facing teams, preferably in business development, investor relations, or corporate affairs.
  • Strong proficiency in Microsoft Office Suite and enterprise collaboration tools (e.g., Teams, Outlook, SharePoint).
  • Strong communication skills and professional presence.
  • Proven ability to manage multiple priorities and work independently.
  • Bachelor’s degree preferred; equivalent experience considered.

Compensation Data

The annual starting salary for this position is between $85,000 – 106,000 annually.  Factors which may affect starting salary within this range and level of role may include geography/market, skills, education, experience and other qualifications of the successful candidate.
