Job Description
The Contract Document Specialist is responsible for the accurate disposition of all Generic and Brand contracts and related documents in appropriate repository across the Teva portfolio of products and customers. They will also create and manage metadata, perform metrics reporting, and monitor workflow in future Contract Lifecycle Management system.
Responsibilities required to achieve the position’s objectives:
- Ensure adherence to Teva’s document management policies and procedures related to generic and branded PBM/Payer and Trade/Distribution/Retail customer channels (i.e. document retention, communication, filing and naming conventions)
- Perform regular monitoring of repository/common drive content to ensure accuracy and completeness
- Log contract approvals and development activities according to established SOPs
- Identify key contract terms and conditions for categorization
- Review and identify documents to determine the appropriate classification within repository
- Assist in the tracking of the contract documents (i.e. agreements, amendments, notices, expirations) toward execution, finalization and lifecycle management
- Monitor workflow, update any discrepant information and correct overdue items
- Run and distribute contract information reports (weekly, monthly, quarterly)
- Oversee user access request process
- Identify system and data issues and manage to completion
- Document Management liaison to IT
- Provide support and training to contract team members
Qualifications
Education: Associates Degree or equivalent required
Experience Required:
- Minimum of 2 years of experience with document control, management or retention
- Significant experience with file structure and file management
- Intermediate computer skills, proficiency working with contract management system(s)
- Proficient in Microsoft: Excel, Word, Outlook, Sharepoint
- Excellent editing, communication, and organizational skills
Experience Preferred:
- Five years of experience with contract management systems
- Managing corporate internal and external audit processes
- Accurately converting documents from Microsoft Word to .pdf
- Downloading reports into Excel
- Experience working in DocuSign
- Advanced degree
