We are looking for a forward-thinking, structured and committed Supply Availability Specialist to join our team in Espoo. You would belong to a team of four highly motivated and experienced supply chain professionals collaborating closely with commercial teams and other local functions like quality, regulatory affairs, and portfolio management.  Here you would have an opportunity to build a good understanding of the pharmaceutical supply chain and dynamics behind the availability of pharmaceuticals. Besides our local colleagues in Finland, you would interact daily with our local wholesaler and with supply chain colleagues in Europe. You would also be ensuring timely and correct reporting of drug shortages.

 

This role is a combination of inbound and inventory management as well as drug shortage reporting responsibilities:

  • Inbound and inventory management you would be doing in close collaboration with our local commercial quality team and local wholesaler. This includes daily alignment, for example on timing and content of incoming trucks and availability to required documentation.  On the technical side, you would also ensure accuracy of inventory data, for example by running and validating daily interfaces in SAP ECC.
  • In drug shortage reporting role, you would be responsible for updating, maintaining and developing a shared excel tool. You would also be responsible for submitting drug shortage notifications and updates to the authorities and aligning with central functions on drug shortage notifications.

How You’ll Spend Your Day

  • Once a week, normally on Monday morning your 1st task is to update our shared excel tool enabling us to monitor daily supply availability of our product portfolio and ask your colleagues to review their portfolio and update availability status.
  • On Monday afternoon after receiving feedback, you check and validate this supply availability data and update old and prepare new drug shortage notifications directly to authority portal.
  • You collaborate with European colleagues in preparing European Drug Shortage notifications and ensuring alignment with local notifications.
  • Support commercial teams in preparing customer communication on product availability and answer e-mails on our product availability received via our local wholesaler.
  • As a daily task, you check and follow incoming deliveries from central portals, verify availability of all relevant documentation from your colleagues, and send pre-notification to the wholesaler.
  • Daily communication with the wholesaler on various tasks and arising questions.
  • Run, check and validate daily interfaces between warehouse and company SAP ECC.
  • Once a month you manage our monthly destruction process internally and agree on implementation with the wholesaler.
  • In the end of the month, you support finance by reconciling sales and inventory transactions.
  • Participate in weekly team meetings, other internal change management meetings, and arrange quarterly meetings with the wholesaler. 

Your Experience And Qualifications

  • Very good proficiency in Excel is a must. Familiarity with SAP or other ERP systems would be very helpful (though training would be provided).  
  • Own interest/motivation to work in a highly regulated environment and with excel and different systems on a daily basis.
  • Success in this role requires a systematic, well organized, and analytic way of working, and the ability to identify clear priorities and act on those at a good pace.
  • Fluency in Finnish and in English is required.
  • You have an educational background in Pharmacy, Business, or Supply Chain.
  • Basic understanding of pharmaceutical industry, distribution and/or regulation, drug shortage notifications and Supply Chain principles and/or prior experience in a similar role is an asset.
