Job Description

  • Organization of meetings, business travel and coordination of business appointments
  • Preparation and post-processing of meetings, preparation of the agenda and the protocol
  • Organizational support for (international) meetings
  • Administrative planning, organization and support of AdBoards and other business events
  • Issuing/preparation, adaption and maintenance of External Expert (EE)-contracts for medical symposiums in cooperation with the legal department
  • Invoice verification/accounting control
  • Administration of invoices as „cc Admin“ (Prüfung und Freigabe): „SAP-Readsoft”
  • Accounting, alignment, reversal of incoming goods
  • Administration of purchase orders (Banf) - „Procunet“ & „Ariba“ Key User
  • Coordinator contract management


  • Several years profound professional experience, preferably in the pharmaceutical industry or health management
  • Bachelor Degree or Certified Senior Business Specialist (e.g. “Fachwirt”) in Business or Communication; Qualification as management assistant, foreign language correspondent, European secretary or equivalent
  • Discretion and confidentiality are essential attributes
  • Good knowledge and experience of Project Management
  • Excellent MS Office skills (in general Word, PowerPoint, Excel, Outlook and SAP)
  • Fluent Business English and German (verbal and writing)
